A complete and active employee profile consists of two files:
- Applicants - a file that store employee's personal information such as birthdate, home address and bank accounts
- Placements - a file that store employee's job-related information such as job position, salary and attendance
If Applicant is not linked with any Placement, this is not an active employee profile because this employee has no job position assigned
1) Add one applicant manually
Note 1* Input all essential fields(marked as * ) for an Applicant, or this file will not be saved successfully
Note 2* Input well-ordered numbers for all Applicant numbers as this number will be the ESS login ID for the employee
Note 3* Password means the ESS login password & payslip password for the employee
Note 4* If information such as Personal Email and Telephone (Mobile) could not be provided, input '' - ''
- Go to Staff --> Applicant
- Add New
- Input ALL fields except Location, Address, Comment, Remark and Active Directory User Name
- Save
2) Add one placement manually
Add a placement file for the applicant
- Go to Staff --> Placement
- Fill in the essential fields as mentioned at below bullet points
Fill in General section for Backstage to identify the job position and contract status
- Select an applicant in Staff
- Select Job Order and Organization
- Input Placement Number and Position
- Input Start Date and Probation End Date
- Enable ''Is continuous contract?'' for employees fulfil 418 Hong Kong labour policy
Complete Attendance and Salary section while Appraisal section could be skipped
After saved, a detailed version of a placement file will be shown, complete the rest sections
Fill in Salary section for Backstage to calculate salary in payroll batches
- Input ER Contribution Commencement Date and EE Contribution Commencement Date
- Enable ''Require Tax Filling?'' if this staff need to submit tax forms to the government
Complete Leave section
- Add leave entitlement by clicking the gear icon
- Select Leave entitlement for this staff
- Let Effective Date same as staff's start date
- Let starting period as 0 so leave entitlement start counting from staff's start date
